Refund & Cancellation Policy

This policy explains how order cancellations, payment holds, and membership cancellations work. It supplements, and should be read together with, our Terms of Service.

1. Canceling an order

You can cancel an order free of charge any time before a driver is dispatched to fulfill it. Once a driver has been assigned and is en route, cancellation may not be possible, and the $14.95 non-member fee (and any applicable $9.95 extra-vehicle fee or $75.00 emergency fee) is non-refundable, because it covers dispatch and driver time already committed to your order. If a driver is unable to complete delivery for reasons within our control (for example, a scheduling error on our end), we will not charge you for the undelivered portion.

2. Authorization holds and final charges

When you place an order, we place a temporary authorization hold on your payment method for an estimated amount, because the exact fuel amount is only known once the driver completes fueling. After delivery, we capture only the actual amount owed — the price of gallons actually delivered plus applicable fees — and any difference between the hold and the final charge is automatically released or adjusted. Authorization holds that are not captured are released by your card issuer according to their own timelines, typically within a few business days, which is outside our control.

3. Disputing the amount of fuel delivered

If you believe the gallons delivered or amount charged for an order is incorrect, contact us at support@fuelexpressnwa.com within 7 days of delivery with your order number. We will review the driver's delivery record and, where an error is confirmed, issue a refund or credit for the difference.

4. Membership cancellation

You can turn off auto-renewal for your membership at any time in your account settings or by contacting us. Turning off auto-renewal stops future billing but does not end your current membership period early — you keep your plan's benefits (included fuelings, vehicles, and emergency orders) through the end of the period you already paid for. We do not provide partial or prorated refunds for the unused portion of a membership period. You can turn auto-renewal back on at any time before your current period ends to keep your plan active without interruption.

5. Membership billing errors

If you are charged for a membership renewal after you canceled auto-renewal before the renewal date, contact us at support@fuelexpressnwa.com and we will refund the erroneous charge.

6. Chargebacks

If you have a billing concern, please contact us first at support@fuelexpressnwa.com so we can resolve it directly — most issues can be fixed faster this way than through a card dispute. Filing a chargeback for a charge you authorized and received the corresponding fuel delivery for may result in suspension of your account pending resolution.

7. How refunds are issued

Approved refunds are issued to the original payment method through Stripe. Refund timing to your statement depends on your card issuer and is typically 5–10 business days after we process it.
